Key Responsibilities

Order Management & Administration

  • Financial Documentation: Accurately handle all invoicing, credit notes, and related administrative documentation to ensure seamless financial processing.

  • Order Lifecycle: Manage the end-to-end order process, from initial entry to final follow-up, ensuring all data is captured correctly within the system.

  • Administrative Support: Maintain organized digital and physical records of customer interactions, contracts, and delivery receipts.

Logistics & Delivery Coordination

  • Timely Fulfillment: Coordinate with the warehouse and logistics teams to ensure all customer orders are processed and dispatched according to agreed timelines.

  • Proactive Follow-up: Monitor delivery statuses and proactively communicate with customers regarding any potential delays or changes to their shipment schedules.

  • Trial Support: Assist in the handling of product samples and conduct diligent follow-ups on customer trials to support the sales team.

Customer Relationship Management

  • Expert Communication: Act as a primary point of contact for customers, providing clear and professional updates on order status and technical inquiries.

  • Conflict Resolution: Manage customer complaints with a solution-oriented mindset, ensuring prompt resolution and maintaining long-term brand loyalty.

  • Stakeholder Liaison: Facilitate smooth internal communication between sales, logistics, and finance departments to meet customer expectations.

Planning & Reporting

  • Demand Intelligence: Assist the management team in demand planning and forecasting by providing accurate data on customer ordering patterns.

  • Performance Reporting: Prepare regular reports on order volumes, delivery efficiency, and customer satisfaction metrics to support data-driven decision-making.


Required Skills & Qualifications

  • Education: Professional qualification in Sales & Marketing, Logistics, Business Administration, or a related field.

  • Experience: * Minimum of 1 year of professional experience in customer service coordination, invoicing, or a similar operational role.

    • Previous experience within an industrial or technical environment is highly preferred.

  • Technical Proficiency:

    • High level of proficiency in Microsoft Office (specifically Excel for reporting, Word, and Outlook).

    • Familiarity with ERP systems or specialized order management software is an advantage.

  • Core Competencies:

    • Organizational Excellence: Strong time-management skills with the ability to prioritize tasks in a high-pressure environment.

    • Communication: Excellent verbal and written skills with a focus on professional relationship-building.

    • Detail-Oriented: A “zero-error” approach to documentation and invoicing.

    • Analytical Support: Capability to assist in basic forecasting and trend analysis.
