Executive Assistant (Remote – Dubai Based)
Role Overview We are seeking a highly organized, proactive, and resourceful Executive Assistant to provide comprehensive administrative and operational support to the Owner of a diversified portfolio of companies operating across India. Based in Dubai and working remotely, you will act as a strategic “right hand,” managing complex schedules, international travel, and cross-border communications. This role is ideal for a professional who thrives in a fast-paced entrepreneurial environment, excels at anticipating needs, and maintains the highest levels of discretion while managing multiple business interests across different time zones.
Key Responsibilities
Executive Support & Strategic Coordination

Calendar Management: Oversee the Owner’s daily schedule and long-term calendar, optimizing time management across multiple companies and time zones.

Communication Lead: Act as the primary gatekeeper by prioritizing emails, messages, and calls; drafting responses on behalf of the Owner where appropriate.

Meeting Oversight: Prepare comprehensive meeting briefs, agendas, and presentations, while ensuring all follow-up documentation and action items are tracked to completion.

Confidentiality: Handle sensitive business and personal information with absolute professionalism and discretion.
Travel & Logistics

Itinerary Planning: Coordinate complex domestic and international travel, including flights, luxury accommodation, ground transport, and visa requirements.

Logistics Execution: Anticipate travel-related needs and provide real-time support to ensure seamless execution of all global itineraries.
Administrative & Operational Excellence

Cross-Functional Liaison: Serve as a bridge between the Owner and internal departments (Finance, HR, Marketing, Operations) to ensure organizational alignment.

Operational Tasks: Assist with document preparation, digital filing, expense tracking, invoice follow-up, and vendor coordination.

Research & Analysis: Conduct targeted research and prepare executive summaries to support the Owner’s decision-making processes.
Stakeholder Management

Professional Point of Contact: Serve as a sophisticated representative for the Owner when interacting with high-level clients, investors, and global partners.

Relationship Management: Schedule and manage virtual and in-person meetings, following up on key action points to maintain momentum in business relationships.
Requirements

Experience: 3–5 years of proven experience as an Executive Assistant or Personal Assistant supporting a senior executive or high-net-worth entrepreneur.

Location: Must be based in Dubai and comfortable working in a fully remote capacity.

Communication: Exceptional written and verbal communication skills in English.

Technical Proficiency:

Expert knowledge of Google Workspace and Microsoft Office.

Proficient with virtual collaboration tools (Zoom, Slack) and project management software (e.g., Asana, Notion, or Trello).

Advanced multitasking abilities with a “self-starter” mindset.

Ability to anticipate executive needs and work independently with minimal supervision.

Strong organizational and time-management skills tailored for cross-border operations.
