Projects Specialist (Executive Office Support) | Product Development & Design

Role Overview 

As a Projects Specialist within the Product Development and Design (PDD) department, you act as the strategic engine of the Senior Vice President’s (SVP) office. This is not a traditional administrative role; you are a trusted partner responsible for ensuring the smooth execution of high-stakes innovation projects that shape the future of aviation design. You will bridge the gap between creative concept and executive execution, managing complex project timelines, facilitating cross-functional alignment, and ensuring the SVP is empowered to focus on the airline’s most critical strategic priorities.

Key Responsibilities

1. Executive Strategy & Decision Support

  • Strategic Liaison: Serve as the primary point of contact between the SVP and senior leadership, external design partners, and global vendors.

  • Executive Readiness: Anticipate the SVP’s needs by gathering data and performing initial analyses to ensure total readiness for board reviews and strategic sessions.

  • Material Development: Prepare and review executive-grade documentation, including sophisticated presentations, strategic memos, and technical briefing materials.

2. Project Coordination & Tracking

  • Timeline Management: Coordinate both confidential and non-confidential projects within the PDD portfolio, tracking deliverables and ensuring rigorous follow-up on key initiatives.

  • Special Projects: Lead assigned special projects, maintaining detailed documentation and ensuring transparent communication across all stakeholders.

  • Strategy Monitoring: Consolidate inputs from various departments to monitor the progress of departmental strategies and report updates directly to the SVP.

3. Operational Excellence

  • Strategic Calendar Management: Manage the SVP’s complex schedule and global travel, ensuring time allocation is strictly aligned with the department’s highest priorities.

  • Process Improvement: Continuously refine executive office workflows and information management systems to enhance overall departmental efficiency.

  • Event Leadership: Organize and facilitate leadership workshops, design reviews, and strategic sessions, including agenda creation and material consolidation.

4. Governance & Confidentiality

  • Data Integrity: Maintain the highest levels of discretion and professional judgment when handling sensitive information regarding future inflight products and corporate strategy.

  • Policy Compliance: Ensure the SVP’s office operates in full compliance with Qatar Airways’ corporate policies and guidelines.

About You: Skills & Competencies

  • Executive Presence: Proven ability to interact confidently and professionally with senior leadership and industry partners.

  • Organizational Mastery: Exceptional attention to detail with the ability to manage high-volume workflows and competing priorities under strict timelines.

  • Communication Artistry: Ability to transform complex data into clear, well-structured, and visually compelling reports and presentations.

  • Problem Solving: A proactive and resourceful mindset with the business acumen to navigate challenges independently.

Qualifications & Experience

  • Education: Diploma, Bachelor’s degree, or equivalent qualification.

  • Experience: Minimum of 4 years in an Executive Assistant, Office Manager, or Project Coordinator role supporting C-suite or senior leadership.

  • Technical Proficiency: Advanced mastery of MS Office (PowerPoint, Excel, Outlook); experience with project management tools such as Power BI or Jira is highly advantageous.
