Administration Executive – Industrial Team & IP&M
We are seeking a highly organized and versatile Administration Executive to serve as the operational backbone for our Industrial Team and the Investment Promotion & Marketing (IP&M) Department. In this multifaceted role, you will bridge the gap between high-level departmental strategy and daily execution. You will be responsible for everything from sophisticated meeting coordination and financial tracking to inventory management and business travel logistics, ensuring that our core teams and the Commission operate at peak efficiency.
The Role: Operational Stewardship & Multi-Team Support
As the primary administrative lead, you will manage a diverse portfolio of responsibilities designed to maintain a structured and compliant workflow.

Departmental Coordination: Act as the central point of contact for the Industrial Team and IP&M, managing complex schedules, preparing meeting agendas, and ensuring that follow-up actions are tracked and completed.

Financial & Payment Integrity: Manage the end-to-end payment lifecycle by verifying invoices, coordinating with the Finance department, and monitoring outstanding payments with meticulous record-keeping.

Budgeting & Cost Control: Provide critical support for budgeting activities by tracking real-time expenditures and preparing financial reports to guide departmental decision-making.

Travel & Logistics Administration: Coordinate all aspects of business travel, including application processing, expense summaries, petty cash settlements, and the communication of corporate travel guidelines.

Inventory & Asset Management: Oversee the store inventory, including high-value marketing collaterals and corporate gift items, ensuring accurate usage tracking and timely replenishment.

Documentation Governance: Maintain a rigorous filing system with strict version control, ensuring all departmental records comply with organizational policies.

HR & Cross-Functional Support: Provide frontline administrative and HR support, assisting with various cross-functional tasks as assigned to ensure seamless organizational flow.
Your Profile
We are looking for a disciplined professional who balances technical administrative rigor with the superior interpersonal skills required to manage diverse stakeholder relationships.

Education: A Bachelor’s Degree in Marketing or Business Management.

Experience: A minimum of two years of professional work experience in an administrative or operational support capacity.
